10 Essential Tips for Planning a Wedding

A wedding is one of the most important days in any couple’s lives. From engagement photos, to selecting vendors, to making checklists and choosing your wedding party, there are lots of items that need to be planned out in an orderly fashion up until you say those two magical words – “I Do.”

Planning your own wedding can sometimes feel overwhelming and stressful, but if you follow these stress-free tips below, you will find planning your wedding will be smooth sailing, and more enjoyable from an expert event professional mindset.

1) Set a Budget, and Stick To It

Weddings can be very expensive, and just like any other event, you may find yourself wanting to add additional items to your master list closer to the event date, which may not have been in your set budget.
Make a budget and stick to it. If you think you may have “wish list” items that will pop up closer to the time of the wedding, add those items in with your set budget from the very beginning. Aim to never exceed the set amount you have budgeted for from day one.
If you overspend on flowers, then you must cut back from something else on your list. Be flexible with yourself, and prioritize the big spend items and must-have items first on your budget, knowing that those have to be paid for, as opposed to “wish list” items that can get cut at anytime.

2) Create a Timeline

Besides the budget, a timeline is the most important part of planning a wedding as an event professional. Develop a reasonable timeline, fit to your schedule, and map out due dates on a calendar. You will find well-known wedding websites provide checklists with timelines for you, so be sure to follow these when planning out your calendar. Depending on the timing of the wedding, you will want to ensure you have ample time to plan and insert orders that can take more time than others.

3) Find Event Tools Fit For You

Event tools are an event planners best friend! Besides online wedding checklists, look for event apps with budgets, checklists and reminders that are used for weddings, or if you prefer to use your go-to event planning apps, those will work just fine.
Some planners prefer to work in excel, while others prefer the old school method of writing out every expense paid for an event – it’s up to you, but be sure to track all expenses at the end of the day to help make your planning efforts run smoothly!

4) Choose the Important Details

Once you have planned out the budget and timeline of the wedding, it’s time to figure out the most important details of all. The size of the wedding will determine more from a budget perspective, so first, create a guest list and stick to it as close as possible.
Once you have completed the list, move on to selecting a venue, wedding date and theme. The process for selecting the venue is very similar to selecting event venues for other types of events.
You will want to meet with venue owners, get a list of what they provide and do not provide on the day of the wedding, have them send you a formal quote, and find out what dates they have available that work with the timing you are working towards. Couples are constantly getting engaged, so finding the weekend that works best for you is sometimes hard to do, but most importantly, the details and service you receive at the venue are crucial.
Review the contract (and all vendor contracts) before signing with the venue, and be sure to ask if you can stop by when they may be having a party so you can see what the venue will look like decorated and full of guests! As a planner it’s always important to see your event space in action before you make any commitments.

5) Design with Quality

You may have several design resources you use for events on a yearly basis, and if one comes to mind for a wedding, be sure to reach out and ask for their help to design signs, invitations, programs and save the dates!

Be diligent when hiring vendors. Find references for all of your vendors, and create a spreadsheet with contact info, and a back-up contact for all vendors. As a rule of thumb, always remember vendors are just the same as any tradeshow or corporate event vendor, but in this case, they may be a DJ, food and beverage caterer, lighting and décor or photo booth company, flower shop, or wedding dress boutique.
It’s important to set up meetings with all vendors, have follow-up meetings, make sure your contacts feel like an extension of you from the very get-go. Together, you are all creating one master experience for the bride, groom, and wedding guests.

7) It’s all About Customer Service

No matter what event is being planned, event professionals always go out of their way to guarantee amazing service. One thing to keep in mind as you are planning a wedding is to go the extra mile for anyone and everyone involved in the wedding. Use your gift vendors and personalize party favors for all of the gifts, find special gifts for the wedding family you can customize just for them that they will cherish forever, and create welcome bags for the wedding guests to drop off at the preferred wedding hotel of choice.
Inside the welcome bag, be sure to include the schedule of weekend or day events, times to arrive, and where to go, and goodies for your guests. Remember all events take a huge amount of time, sweat and work to be pulled off, but weddings are events of a different nature. They take months, sometimes years to pull together, and being able to soak all of your hard work in will feel amazing.

How to Create a Wedding Communication Plan

How many guests will be at your wedding? Will you have a small, intimate gathering of 30? A large bash with over 500? No matter how small or how large your guest list is, you'll need a way to communicate with everyone you've invited just in case things go awry.

It's the day of the wedding and while your photographer is dutifully spreading out that adorable hand-calligraphed invitation suite, you glance over his shoulder, and you notice for the first time that the address for the church is listed incorrectly (even though you swear you double- and even triple-checked for errors). To make sure each guest that RSVP'd "yes" to your wedding gets to the right church on time you frantically post on Facebook the correct address of the church and hope it reaches everyone. Right? Not quite. Putting your plans on Facebook means that some people who aren't invited could see and feel left out, and let's face it, your great uncle Charlie hasn't touched a computer since the '90s. If you want word to spread -- fast -- to the right people, you better have a communication plan.
If you have a communication plan in place, this kind of thing is not really that big of a deal. In fact, it's no sweat because you've thought through this exact scenario and you know what to do. So... what do you do? Here are a few easy-to-follow tips.

How to come up with a wedding day communication plan:

1. Think of a concise message that your guests will understand quickly.
No need for a lengthy explanation of what happened. Keep your message to guests short and to the point. All they need to know is that plans have changed for some reason or another and what to do in the meantime.
2. Make sure your wedding website is accurate and up-to-date.
Your wedding website will get tons of views leading up to your wedding, because people misplace invitations or forget to bring them along when they're driving. Make sure the main page of your site contains any new information that guests should know and that all addresses are accurate.
3. Assemble a group of family members and wedding party pals who can be trusted to start a phone tree and get this information out there quickly -- especially to those who aren't likely to check your wedding website on the day of.
You'll want to delegate this kind of a task to a few members from each side of the family, so it spreads evenly and no relatives are left in the dark and to assign the task to a few friends on both sides of your wedding party to notify all non-relatives. Once they start spreading the word, and the people who heard from them spread it to everyone they know attending, word of mouth will have taken care of your little invitation snafu.
4. Use this handy wedding website trick.
Still worried you missed a couple people in getting the correct info out? No fear! There's a little known area of our wedding websites that will help you out. Did you know that apart from telling your "How They Met" story and explaining where you're registered, one feature of your wedding website actually emails every person on your guest list? From your wedding website dashboard, just press the "Share Your Site" button. You'll see an email contact form with various fields. You can use this to communicate with all your guests. Just press "Add Contacts," then "Guest List" and check the box marked "Guests with contact info." You can choose to select guests one by one, depending on their RSVP or you can select all.
Then, simply add an email subject -- something along the lines of "Important Last-Minute Update to Our Wedding Schedule!" and write out a message to all your guests telling them of your change in plans. Phew, that was easy! You can also delegate this plan to one of your bridesmaids or your parents if you're too busy getting ready or dealing with other last-minute details.
The beautiful thing about having this type of plan in place is that it applies to so many last-minute changes. Does it look like rain? Follow the communication plan and let everyone know about your "Plan B" scenario. Is there crazy traffic on one of the main routes to the reception hall? Send out your email! Medical emergency? While we hope none of these things happen to you on the road to your celebration, it never hurts to be over-prepared.

EVERYTHING YOU NEED TO KNOW ABOUT WEDDING DAY MAKEUP & HAIR


Last month I had the pleasure of consulting with Kristy Alonzo, Beauty Expert & Owner of Kristy’s Artistry Design Team. You may recall that Kristy gave us some helpful thoughts on what to consider when hiring your wedding day hair and makeup stylist. I also asked Kristy for any additional tips and insights she might have for our couples as they make their wedding say styling decisions. Here is what she had to say:

For example, many women wear mineral-based foundation powders on a day-to-day basis. While it looks great, it is one of the worst foundations to use when working with professional cameras and lighting. Mineral-based makeup absorbs light, which will make the skin appear pasty and muddy in the pictures.

The ideal makeup should reflect light, exposing natural highlights and lowlights of the face when light is exposed during the photo/video filming. With all of the technology being used these days, one should be sure that the artists use HD quality makeup and understand the difference.
We prefer airbrush foundation to traditional foundation. Most airbrush foundations are HD quality and will leave a flawless appearance no matter how close up filming may occur. Remember not all airbrush foundations are created equal. We use a pro-line airbrush foundation that is water based instead of silicone based. It gives the skin an amazing, even coverage that looks flawless and natural and not heavy, like most silicone-based foundations do. Don’t forget to make sure your stylist uses a foundation that can stand up to sweat and tears and that it will hold up for the entire wedding day.”
These are great insights, Kristy. Thanks so much! I have a few other tips to add:
1. Get a few facials between your engagement and the wedding day. You want to get more than one so you know how your skin will react to it, and you don’t want to get it too close to the wedding day because your skin may look pinker and more irritated immediately after the facial.
Make sure your makeup complements the feel of your wedding as well as your wedding dress.

2. If your dress is floaty and romantic, for example, your makeup shouldn’t be heavy and dark.
If you color or perm your hair, make an appointment a month before the wedding. This will give you time to fix anything that might not look like you want it.
